Any player on the roster would have needed to play AT LEAST 3 seasons for your team.
A player can appear on multiple rosters if he played 3 (or more) seasons for each of those teams.
You get the best version of the player...when he played for your team. For example, the Niners get Jerry Rice in his early prime/peak while the Raiders would get a much older but still decent version of Rice
Players are judged on their ability, relative to their peers and era. So, a 250 lb HOF lineman from the 1970s would be on equal footing with a similarly dominant 300 lb lineman from the 1990s. That should balance out the recency bias and account for the modern advantages players have.
You can pick up to two coaches for your team; one HC and one assistant. It doesn't matter if both were HC's for your team. You can also leave the coaching spots blank.
